Terms of Service

1. Acceptance of Terms

By accessing our platform, connecting your QuickBooks Online or Xero accounting tenant, or forwarding purchase orders to your dedicated ingestion alias, you agree to be bound by these Terms and our Privacy Policy. If you are entering into this agreement on behalf of a company or legal entity, you represent that you have the authority to bind such entity.

2. Description of Service

DocuBridge AI provides an automated multimodal optical extraction and accounting synchronization platform. The service ingests wholesale purchase orders (PDF, TIFF, image formats), extracts structured tabular data (SKUs, line items, quantities, pricing), matches them to your ERP catalog using fuzzy reconciliation, and writes draft Sales Orders or Invoices to QuickBooks Online or Xero via authorized OAuth 2.0 connections.

3. Accounting Integrations (Intuit QuickBooks & Xero)

DocuBridge AI adheres strictly to the Intuit Developer Terms of Service and Xero Developer Agreement:

• Least Privilege Scope: We only request permissions necessary to read active customers and inventory items, and to create draft sales orders / invoices.
• Draft Status Guarantees: All automated creations in QuickBooks Online or Xero default to "Draft" or "Pending Review" status unless explicitly approved by an authorized user.
• Revocation: You may disconnect your accounting tenant at any time through the DocuBridge dashboard or directly within your Intuit AppCenter / Xero connected apps portal.

4. Customer Data & Accuracy Disclaimer

While DocuBridge AI utilizes state-of-the-art vision models and mathematical sanity checkers, optical extraction depends on document image quality and formatting. You acknowledge that users retain ultimate operational responsibility for verifying final quantities, pricing, and accounting mappings before executing fulfillment or billing.

5. Subscriptions, Quotas, and Billing

Subscription tiers are billed monthly or annually via Stripe. Monthly document quotas are allocated on the first day of each billing cycle:

• Starter Tier: 150 POs / month.
• Growth Tier: 800 POs / month with priority AI processing.
• Enterprise Tier: Custom volumes, multi-tenant clustering, and dedicated SLAs.

6. Security and Data Protection

We implement enterprise-grade cryptographic security: AES-256 encryption at rest for stored documents and OAuth tokens, TLS 1.3 encryption in transit, and row-level tenant isolation in our database architecture. We do not sell, rent, or monetize your purchase orders, vendor lists, or accounting records.

7. Limitation of Liability

To the maximum extent permitted by applicable law, DocuBridge AI Inc. shall not be liable for indirect, incidental, punitive, or consequential damages, including loss of profits, inventory miscalculations, or business interruption arising out of the use or inability to use the service.
